HKU Portal

The commonly used IT services and applications are readily available for access by University staff members through a single sign-on platform via the HKU Portal which provides a facility to access email, web-based courses, library resources, and various applications supported by administrative offices and service centres. Application procedures of the HKU Portal account are outlined in the “Instruction Sheet on Computer Account Application” enclosed with your Letter of Appointment.

Staff Card

The staff card, apart from serving as an identification of your staff identity, serves to provide the functions of access control to the various facilities in the University, e.g. the University Libraries, sports centres managed by the Centre for Sports and Exercise, registration at the University Health Service (UHS), centrally-timetabled classrooms, etc.

Eligibility
– Full-time HKU staff

Procedures
1. Upload your photograph through the HKU portal on-line system by selecting “Personal and Family Data Form”.

Uploaded photographs should conform to the following guidelines:

  • A recent colour photograph showing full frontal face with clear facial features
  • The photograph should be taken against a plain background
  • The photograph size should be at ratio of height to width at 5:4
  • The file type should be in JPEG format, with a file size of 600Kbytes or less

2. Upon the confirmation of your start date by your Head of Department, an e-mail notification will be sent to you for your staff card collection. (* If you do not receive this email within 7 days after your start date has been confirmed, please contact the Human Resources Office at 3917 4870 or scphoto@hku.hk. )

3. Please bring your HKID/Passport to the Human Resources Office on Wednesday or Thursday between 10:00-12:30 or 14:30-17:30 to collect your staff card.

Part-time staff (i.e. hourly-paid, visiting, honorary)  may apply for a Facility Access Card (FAC) at the Registration Counter of the Main Library, or through an online CSE form, for access to facilities provided by the Libraries and the CSE respectively. The application fee is HK$50. Application details /eligibility requirements can be found at the University Libraries and the Centre respectively.
